The story
SituationThe launch week of your Salted Caramel Chocolate Tart is over. It sold out every day, and the launch price was always meant to be for one week only.
ChallengeThe tart still shows the crossed-out launch price, the photo is a quick phone shot, and a customer has asked whether it contains nuts.
MissionMove the tart to its regular price, swap in the studio photo and add the allergen note, all before tomorrow morning's orders.
This guide shows you how to change an item that is already on your menu. Every detail you set when you created it can be changed on one page, and the changes go live as soon as you click Update.
Quick answer
Tap the Menu option in the admin portal and tap All Items. Select an item from the list, edit its details, and click the Update button to proceed.
Before you start
You are signed in to Web Admin as a brand admin. Other accounts can open an item but see "View only. Editing a menu item is only applicable for users with the admin role." and no Update button.
Any change applies at every branch that sells the item, unless the setting itself is per branch (such as Available at stores or a branch's own inventory limit).
Note
If your menu is managed by your POS system, menu editing is locked in Web Admin. The page opens as View Item, shows "This menu is synced from the POS", and has no Update button. Change the item on the POS instead. Ask your Eats Venture account manager if you are unsure.
Step 1: Open All Items
a) Tap on (a) the Menu option in the admin portal and tap (b) All Items.
Step 2: Select the item
c) Select an item from the list, for example 'TTT'. Click the item name, or Edit in the Actions column.
To find an item quickly, type in Search by item name, or pick a section in the Category filter (it starts on All categories). The list shows each item's Name, Category, Price (RM), Available at store (one badge per branch: available, sold out or hidden) and Actions.
Ops tip
Only changing the price? Click Update under the price in the All Items list and enter the new price there. You see Price updated! without opening the full form.
Step 3: Edit the item details
d) Item details can be edited in this section. The Edit Item page has the same sections as the form you used to create the item.
Menu information
Name: what customers see, for example Crème Brulee Cheese (the example on the form).
Category: the menu section the item appears in. Pick another one to move the item, or click Create to make a new category.
Description: the placeholder suggests including size, ingredient, allergy and the story behind the food for better sales conversion.
Price: the selling price in RM.
Original price (optional): "This will display a markdown. Enter a price that is higher than your selling price. Often shown with a strikethrough." Clear it, or set it to 0.00 as in the screenshot, to stop showing a crossed-out price.
Tax rate (optional): leave empty to use the store's default tax rate.
LHDN e-Invoice classification code: defaults to 022 - Others. See Setting Up Menu Item Tax Codes for e-Invoicing.
Caution
Changing the tax rate or the e-Invoice classification code affects every new order for this item. If you are not sure which code applies, check with your accountant first.
Additional information, photos and video
SKU (optional): used for printer display or POS sync.
Care instruction note for consumer (optional): storage or serving advice for customers.
Image: up to 5 photos, at least 480 x 480 pixels, in JPG, PNG or WEBP. Remove a photo with its bin icon and add a new one with Select file. Every item needs at least one photo.
Video: up to 2 TikTok or YouTube links, entered as the direct video URL, not the embed code.
Customer service tip
When customers ask the same question twice, the answer belongs in the item. Put allergens such as nuts in the Description, so the next customer has the answer before they message your store.
Preparation time, limits and where it sells
Menu preparation time: By hour(s) (minimum 1 hour) or By day(s) (minimum 1 day, with a Cut-off time). The item is marked as a Pre-order item.
Recurring weekly inventory limit: a maximum daily quantity for each day of the week that resets every week, for all branches, with Add a custom inventory for a specific store to give one branch its own numbers.
Available at stores: tick the branches that sell this item. Unchecked stores will not show this menu. See Managing Item Availability & Stock Limits.
Custom menu availability dates: a Start date and optional End date (optional) for when the item appears on your store page.
To limit stock on particular dates instead of every week, use How to manage and set Inventory limits for items.
Add-on groups
At the bottom of the page, Add-on Group lets you add one or more add-on groups to this menu by creating new groups (Add new group) or copying existing ones from other menus (Copy from other menu > Select a menu). Each group already on the item has Edit and Remove, and each add-on in it has Update price. See Create a new add on menu.
Step 4: Click Update
e) Click the Update button to proceed. You see Menu is updated!, and customers see the change the next time they load your menu.
Back to All Items (shown as Back to menu item in older screenshots of this page) leaves without saving.
That is it. The tart is on its regular price with the new photo and the allergen note, and tomorrow's first customer sees all three.
Marketing tip
Click Copy link at the top of the Edit Item page to copy a direct link to this item on your online store. Use it in posts and messages so customers land straight on the item. See How to Run Ads That Redirect to a Specific Product.
Delete an item
Brand admins see a Delete button at the bottom left of the page. You are asked "Are you sure?" with the warning "You won't be able to revert this!". Click Yes, delete it to confirm; you see Menu is deleted!.
Caution
Deleting cannot be undone. To stop selling an item for now, untick its branches under Available at stores or mark it sold out instead, so you can bring it back later with its photos and settings intact.
If something goes wrong
"Please complete all the required fields": a required field is empty. The page scrolls to the first field marked in red, for example "Please input a name".
"Image is required": the item has no photo left. Add one before you update.
"Max 5 photos are allowed.": remove a photo before adding another.
"The uploaded image is too large. Please reduce the size to less than 10MB and try again.": use a smaller file.
"Error uploading image. Please ensure image format is either PNG or JPG": save the photo as JPG, PNG or WEBP and try again.
"Price cannot be less than 0", "Original price cannot be less than 0" or "Tax rate cannot be less than 0": enter 0 or more.
"Please fill in Preparation time" or "Preparation time cannot be 0": enter at least 1, or turn preparation time off.
"Preparation time "hour(s)" should not be more than 23, please use "day(s)" instead.": switch to By day(s).
"Please select a cut-off time.": preparation time by day needs a cut-off time.
"Start date is required when custom menu availability is enabled": set a start date, or turn the dates off.
"Menu is read-only (synced from POS)": your menu is managed by your POS. Make the change there.
Mission accomplished: what you have achieved
- The right price, on time. The launch price ended when you said it would, at every branch.
- A better shop window. The new photo is live without re-creating the item.
- Fewer repeat questions. The allergen answer is on the item, not in your inbox.
Next time something changes, it is one page and one Update.
