Set the e-Invoice classification code on your menu items

The story

SituationYour accountant is preparing for e-Invoicing and asks a simple question: what classification code does each of your menu items carry on the e-Invoice?

ChallengeYou have dozens of items across cakes, drinks and gift sets, nobody has looked at the code field since the items were created, and a wrong code can make an e-Invoice submission fail.

MissionCheck the code on every item, change the ones your tax declaration needs, and know that every new item starts with the right code.

This guide shows where the code lives on each menu item, what the default means, and how to change it.

Quick answer

Open the item in Web Admin (Menu > All Items, then the item, or Menu > Create New Item for a new one). Next to Tax rate (optional), choose the code from the LHDN e-Invoice classification code dropdown. The default is 022 - Others. Save the item.

Overview

To comply with official e-Invoicing requirements, all menu items must be assigned a valid classification code. This code categorizes the product or service being billed during a commercial transaction.

Important: Selecting an incorrect tax code may lead to failures in e-Invoice application submissions. Please ensure you select the code that matches your business's tax declaration criteria.

The code you pick on the item is carried onto each order line when a customer orders it, and from there onto the e-Invoice that Shoppertise submits to LHDN through MyInvois on your behalf. See How does e-Invoicing work for my business on Shoppertise Eats Venture platform?

Before you start

How to Set Up the Tax Code

Step 1: Navigate to Menu Management

  1. Log in to your Eats Venture Admin Portal.

  2. Go to Menu > Create (or edit an existing menu item).

In the current Web Admin, a new item is created from Menu > All Items and New item, or straight from Menu > Create New Item; see Add a new item to your online menu. To change an existing item, open it from Menu > All Items; see How do I edit a menu item?

Step 2: Locate the Tax Code Field

Scroll down to the pricing and tax settings section. You will see the new Tax code dropdown next to the Tax rate input field.

  • Default Setting: 022 - Others

Note

The dropdown is now labelled LHDN e-Invoice classification code (the screenshot above shows its earlier label, Tax code). It sits under Menu information, below the price fields and next to Tax rate (optional). The hint under it reads Default: 022 - Others, and the small link icon next to the label opens the official classification code list.

Tax rate (optional) is a separate setting: leave it empty to use your store's default tax rate (the placeholder reads Default (store tax rate)). The classification code says what kind of item it is; the tax rate decides how much tax is charged.

Step 3: Select the Appropriate Classification Code

  1. Click the Tax code dropdown menu.

  2. Select the code that corresponds to the item based on your merchant tax declaration requirements.

Each option shows the code and its official description, for example 022 - Others, 004 - Consolidated e-Invoice or 044 - Vouchers, gift cards, loyalty points, etc. The list covers codes 001 to 045 from the LHDN MyInvois list.

Then save the item: Submit on a new item, or save your changes on the edit page.

Caution

Eats Venture does not decide which code is right for your items. Choose the code that matches your business's tax declaration criteria, using the LHDN MyInvois Classification Code List and your accountant's advice. If in doubt, leave the default 022 - Others until you have confirmed.

Your accountant's question now has an answer for every item, and new items start from a known default.

What happens on the e-Invoice

  • New orders only. The code is copied onto the order when the customer orders. Changing an item's code affects orders placed after the change; orders already placed keep the code they were placed with.

  • Different codes in one order. If one order contains items with different codes, for example a cake on 022 and a gift voucher on 044, Eats Venture submits a separate e-Invoice for each code.

The customer receives each part by email, and in Web Admin the order's e-Invoice card shows a Parts breakdown with each part's tax code. See Will Shoppertise share the e-Invoice with Merchants?

  • Delivery fee. The delivery fee is its own line on the e-Invoice. See How are delivery fees handled under the new e-Invoicing framework?

Ops tip

Set the code when you create each item rather than going back later. Because the code is copied onto each order, a later correction does not fix orders that were already placed with the old code.

Note

If your menu is managed by your POS system, menu editing is locked in Web Admin. Ask your Eats Venture account manager how classification codes are set for your items.

Helpful Resources

If something goes wrong

  • An e-Invoice submission failed. Check the classification code on each item in that order, then check with your accountant. In Web Admin, the order's e-Invoice status shows FAILED; the Buyer can submit the request again while the request window is open.

  • The customer received two or more e-Invoices for one order. The order contained items with different classification codes, so it was split into one e-Invoice per code. This is expected.

  • I cannot change the field. Your brand's menu may be locked because it is managed by your POS. Contact your Eats Venture account manager.

Mission accomplished: what you have achieved

  • Every item carries a code. Each menu item has a classification code, either the one your tax declaration needs or the 022 default.
  • Fewer failed submissions. Codes that match your declaration reduce the risk of an e-Invoice being rejected.
  • A clear answer for your accountant. You know where the code lives and how to change it.

Next time you add a seasonal item, pick its code on the same form, before the first order comes in.
