Add a new item to your online menu

The story

SituationYour new Salted Caramel Chocolate Tart launches on Friday. The photo went up on Instagram this morning, and customers are already asking where to order it.

ChallengeIt is only ready at four of your branches, it needs a launch price that looks like a deal, and the kitchen can only bake so many a day.

MissionGet it on your online menu tonight, at the right branches and the right price, with a photo that makes people tap Add.

This guide gets you there in one form. Set the item up once in Web Admin and it goes live on your online store at every branch you choose.

Quick answer

Tap the Menu option in the admin portal, tap All Items and select New item (or go straight to Menu > Create New Item). Complete all required menu information, including the item image, tick the stores that sell it, then click Submit to add the new menu.

Before you start

  • You are signed in to Web Admin as a brand admin. Store-level accounts cannot add photos or change the tax rate, and an item cannot be saved without a photo.

  • The category for the item already exists, for example Chilled Cakes. If it doesn't, click Create new category on the form, or see Create a new category.

  • You have a square photo of the item, at least 480 x 480 pixels, in JPG, PNG or WEBP.

Note

If your menu is managed by your POS system, menu editing is locked in Web Admin and items are added on the POS instead. Ask your Eats Venture account manager if you are unsure.

Fill in the menu information

Under Menu information, complete all required details:

  • Name: what customers see on the menu, for example Salted Caramel Chocolate Tart.

  • Category: the menu section this item appears under.

  • Description: size, ingredients, allergens and the story behind the item. This is what helps a customer decide.

  • Price: the selling price in RM. For a set menu, add-on options can be free, and certain items can carry a small add-on fee.

  • Original price (optional): a higher price shown crossed out next to your selling price.

Marketing tip

Launching or running a promotion? Enter a higher Original price. Customers see it crossed out next to your selling price, so the saving is obvious at a glance, with no promo code needed.

Tax and e-Invoice

Tax rate is optional. Leave it empty to use your store's default rate.

The LHDN e-Invoice classification code defaults to 022 - Others. If your tax declaration uses a specific code for this kind of item, choose it here. Setting Up Menu Item Tax Codes for e-Invoicing explains how to pick one.

Caution

A wrong classification code can cause e-Invoice submissions to fail. If you are not sure which code applies, check with your accountant before going live. New to e-Invoicing? Start with How does e-Invoicing work for my business.

Additional information (optional)

  • SKU: your own item code, up to 30 characters. It is used for printer display or POS sync.

  • Care instruction note for consumer: storage or serving advice for your customers, for example "Our cakes are best kept in the freezer. Allow about 20 mins to thaw at room temperature before eating or cutting."

Customer service tip

Put allergens in the Description and storage advice in the Care instruction note for consumer. Customers get the answer before they need to message your store.

Add the item image

Under Image, click Select file and choose your photo. You can add up to 5 photos. The item image is required.

Note

All photos are presented in a 1:1 square format, and any other ratio is automatically adjusted to fit. Keep the food in the centre of the frame.

eCommerce savvy tip

Online, the photo is your shop window. Shoot the item on a plain surface in natural light and let it fill the square, then add a second photo that shows the size or a slice.

Video (optional)

Add up to 2 video URLs under Video. Videos are shown before photos. Only TikTok and YouTube videos are supported for playback. Enter the direct video URL, not the embed code, for example https://www.youtube.com/watch?v=i4EI90x5K54 or https://www.tiktok.com/@scout2015/video/6718335390845095173.

Good photos do the selling for you, even at 11pm when nobody is at the counter to describe the tart.

Set preparation time and daily limits (optional)

Menu preparation time: turn it on when the item needs advance notice, like a whole cake. Choose By hour(s) (minimum 1 hour) or By day(s) (minimum 1 day). Customers will not be able to check out if the time span is less than the preparation time, and the item is marked as a Pre-order item.

Recurring weekly inventory limit: set the maximum daily quantity available for this item for each day of the week, for all branches or per branch. The limit automatically resets each week. Leave it disabled if there is no limit.

Ops tip

For preparation time in days, also set a Cut-off time. With a 6:00 PM cut-off and 2 days of preparation, an order placed before 6:00 PM gets slots from 2 days later; an order placed after 6:00 PM gets slots from 3 days later. Your bakers always get their full lead time.

To control stock by date at specific branches, see How to manage and set Inventory limits for items.

Choose where it sells, then submit

Under Available at stores, tick the branches that should sell this item, or tick All stores. Unchecked branches will not show this menu.

To run the item only for a period, such as a festive special, turn on Custom menu availability dates and set a Start date. The End date is optional; leave it empty to keep the item on the menu.

CEO tip

Not sure a new item will sell everywhere? Launch it at a few branches first, with custom availability dates as a limited run. If it does well, tick more stores later from the item's edit page.

Once all menu details are filled in, click Submit to add the new menu. You will see New menu created! and land on the item's edit page.

That is it. The tart is live at those four branches, and nowhere else, before the weekend rush.

Next: add add-on groups

Add-ons such as Extra cream or Birthday candle are added after the item exists. After you click Submit you land on the item's edit page; scroll to Add-on Group to attach existing groups or create new ones. See Create a new add on menu.

If something goes wrong

  • "Please input a name": the Name field is empty.

  • "Image is required": every item needs at least one photo. Add one under Image.

  • "Error uploading image. Please ensure image format is either PNG or JPG": the file is not a supported image. Save it as JPG, PNG or WEBP and try again.

  • "Preparation time "hour(s)" should not be more than 23, please use "day(s)" instead.": switch the time format to By day(s).

  • "Please select a cut-off time.": preparation time by day needs a cut-off time.

  • "Start date is required when custom menu availability is enabled": set a start date, or turn the dates off.

  • The item does not show on the storefront: check that the branch is ticked under Available at stores, the category is available at this time of day (see Category Availability), and today falls within any custom dates you set.

Mission accomplished: what you have achieved

  • Selling from launch day. Customers can order the new item online as soon as you click Submit, with no call to IT and no app update.
  • Only where it is ready. Branches that do not stock it never show it, so no one orders something the kitchen cannot make.
  • A launch price that reads as a deal. The crossed-out original price makes the saving visible without a promo code.
  • A kitchen that keeps up. Preparation time and daily limits stop orders you cannot fulfil, instead of apologising after the fact.

Next time a seasonal special comes along, you already know the drill: one form, one Submit.
