Give your team their own admin logins

The story

SituationYour TTDI outlet has a new manager starting on Monday. On day one they need to accept orders and mark the croissants sold out the moment the last tray goes.

ChallengeRight now the team shares one login. Anyone on it can change prices and promotions, and when someone leaves you have to change the password for everyone.

MissionGive the new manager their own login, limited to their outlet, before their first shift.

This guide shows you how. Each person gets their own admin login, with a role that decides what they can change and a list of the stores they look after.

Quick answer

Go to Settings and tap Create New Admin. Fill in all the required details: email, password, role and the stores they manage. Then click Create to proceed.

Go to (a) Settings on the left panel and tap on (b) Create New Admin, under the Admins group. The same menu holds All Admins, where every existing login is listed.

Before you start

  • You are signed in as a Brand Admin. Store Managers cannot create or change admins.

  • You have the new person's email address. It becomes their login, so use one they can sign in with.

  • You know which stores they will look after.

Note

Setting up the cashier tablet at an outlet? That is a cashier account, not an admin. Create it under Settings > Cashiers > Create New Cashier.

Fill in the admin information

Under Admin information, fill in all the required details:

  • Email: the address they will log in with, up to 50 characters.

  • Password: the password they will log in with. The form only checks that it is not empty, so choose a strong one yourself: we recommend at least 8 characters, including a letter and a number, and not reusing a password from another site.

  • Role: choose Store Manager or Brand Admin. See the next section.

The help text under Role reads: A Store Manager only sees the stores ticked below. A Brand Admin manages the whole brand, including other admins.

Choose the right role

Role

What they can do

Give it to

Store Manager

Only sees the stores ticked under Store Management. Does not see the Promotions menu or the Admins settings, so cannot create promotions or other admin logins.

Outlet managers and supervisors

Brand Admin

Manages the whole brand, including promotions and other admins.

Owners, operations heads, marketing leads

Ops tip

Start outlet staff on Store Manager. They work on their own stores only, while promotions and admin logins stay with you. You can change the role later from Settings > All Admins.

Caution

A Brand Admin manages the whole brand, including promotions, and can create or remove other admins. Give this role only to people you would trust with the whole brand.

Tick the stores they manage, then create

Under Store Management, tick the stores this person looks after, or use Select all. A Store Manager needs at least one store.

Note

Older screenshots of this form were taken before the Role field was added. The form now also asks for a Role under Admin information, as in the screenshot above, and Store Management has a Select all option above the list of stores. The screenshot shows only the first few stores; your form lists every store in your brand.

Fill in all the required details, then click Create to proceed. Cancel leaves the form without saving. You will see New user created! and return to the admin list.

No invitation email is sent. Share the email and password with the new admin yourself, and point them to Logging In & Account Setup for their first sign-in.

That is it. Your new manager signs in on Monday and sees their outlet, and only their outlet.

CEO tip

Give every manager their own login instead of a shared one. You can see who has access under Settings > All Admins. When someone leaves, open their account there and delete it, without changing anyone else's password.

Customer service tip

Make sure every outlet has someone on shift who can mark items sold out, in Web Admin or on the EatsVenture Cashier app. Customers then stop ordering what the kitchen has run out of, instead of finding out after they have paid. See Managing Item Availability & Stock Limits and how to switch items off in the Cashier app.

If something goes wrong

  • "Email cannot be empty.": fill in the Email field.

  • "Password cannot be empty.": fill in the Password field.

  • If you see "Select at least one store for a store manager.": tick at least one store under Store Management.

  • If you see "Username already exists.": that email already has an admin login. Find it under Settings > All Admins and update it there instead.

  • If you see "You are not able to create or update a user": your account is a Store Manager. Ask a Brand Admin to create the login.

Mission accomplished: what you have achieved

  • One person, one login. Everyone signs in as themselves, so you always know who has access.
  • The right access for the job. Outlet managers see only their own stores; promotions and admin logins stay with Brand Admins.
  • Clean handovers. When someone moves on, you remove one account and nobody else is disturbed.

Next time a new manager joins, their login is ready before their first shift.
