How do e-Invoice requests work if I use my own POS?

Quick answer

If your business issues e-Invoices through its own third-party POS rather than Shoppertise's integrated service, Buyers do not get the request form. They see instructions to email your internal Finance team, who then process the e-Invoice manually.

How it works

If your business does not use Shoppertise’s integrated e-Invoicing service, the standard "Request" button will be automatically replaced with instructions directing the Buyer to email your internal Finance team directly for manual processing.

The Buyer still opens the request from the receipt email or from My Orders, the same places as for integrated brands. Once the order is completed, instead of the request form they see:

  • "For e-Invoicing, please contact" your brand name "Finance Department directly at" your finance email address.

  • Required Details: "To comply with IRBM regulations, please provide your Order ID (found in your confirmation email), Full Name, TIN/IC, and SST number (if applicable)."

  • Important Deadline: "Requests must be submitted by the 3rd day of the month following your order date."

  • A Contact Finance button. It opens an email to your finance address with the subject "e-Invoice Request - Order" and the order number, and a body asking for Full Name, TIN/IC and SST number (if applicable).

Your Finance team then issues the e-Invoice from your own POS or e-Invoicing system. Shoppertise does not issue or submit it for these outlets. See Who issues the e-Invoice to Buyers?

Before you go live

  • Give Eats Venture the email address your Finance team uses for e-Invoice requests. It is the address Buyers see.

  • Make sure someone monitors that inbox, especially in the first days of each month when the request window is closing.

Note

The manual route can apply to only some of your outlets. Outlets where Shoppertise is your authorised intermediary (see How do I integrate my business with the MyInvois (IRBM) portal?) keep the standard request form. See Can my customers request e-Invoices for all my store locations?

Caution

For these outlets, issuing the e-Invoice on time and to IRBM requirements is handled by your own POS provider and Finance team. Check your own system's process with your provider or accountant.
