The story
SituationIt is Saturday lunch. The counter is busy, the kitchen is plating dine-in orders, and online orders for self pick-up and delivery keep coming in for the next hour.
ChallengeNobody is watching the screen full time. An online order that sits unaccepted means a customer who arrives to an empty counter, or a rider who is never booked.
MissionHear every new order the moment it needs you, accept it in a few taps, and get it into your POS and kitchen while the customer is still on their way.
This guide shows how Web Admin tells you about a new order, and the exact steps to accept it and pass it to your kitchen.
Quick answer
Keep Orders > Current & Upcoming open with the sound on. When a new order arrives, the alert flashes and a sound plays. Tap the Order no., choose the ready time under Update status, click Accept order, then key the order into your POS and tell the kitchen.
Before you start
You are signed in to Web Admin with an account that has access to the branch. You only see orders for the branches your account is assigned to. See Logging In & Account Setup if you have not signed in before.
The device at the counter has its volume on, not muted, and turned up. The alert is a sound played by the browser tab.
The Current & Upcoming page stays open in a browser tab during opening hours. The sound only plays while this page is open.
How you are told about a new order
When a new order comes in, the new order alert flashes and there is a sound notification. Please ensure your volume is on.
On the Current & Upcoming page, a banner above the order list shows how many orders are waiting, for example 2 new orders need attention, and the Now tab shows a pulsing dot. New orders are highlighted in the list and their status reads PENDING ACTION. When nothing is waiting, the banner reads No new orders.
The sound repeats for as long as at least one new order on the Now tab is still waiting to be accepted, and stops once every new order is accepted.
Note
Earlier versions of this page had a flashing New orders button above the list. It has been replaced by the alert banner described above, which does the same job.
The sound check
Each time you open the order list, a pop-up titled Sound check for new order notifications asks you to make sure "that your device is not muted and volume is set at the maximum level". Close it. Browsers only allow a page to play sound after you have interacted with it, so this tap is what lets the alert sound play.
Turning the sound off for today
The switch on the right of the banner shows Sound on or Sound off. Tapping it mutes the alert for the rest of today only, on this browser. The next day it is back on automatically. The flashing banner and the highlighted orders still show while the sound is off.
Caution
A muted counter is the most common reason an order is missed. Only mute when someone is watching the screen.
Push notifications and reminders
The EatsVenture Cashier app gets a push notification when a new order is paid, and that push is what prints the order automatically. The push is sent only for orders to be fulfilled today; ASAP orders and dine-in orders are always pushed.
An advance order for a later date is not pushed, so it does not print days early, and it is not pushed on the day either: it never prints by itself, so print it from the Cashier app when it is due. If the order is not accepted, reminders follow, as described below.
In Web Admin itself, an advance order moves into the Now tab, and starts the alert sound, from 30 minutes before its time slot starts. If your branch has an order alert chat group on Telegram set up with Eats Venture, it also receives a reminder every 5 minutes that reads "order no. is pending acceptance for N minutes", with a FINAL REMINDER at 90 minutes.
Ops tip
Use a dedicated tablet or laptop at the pass for this page, plugged in and with screen sleep turned off. A screen that goes to sleep can stop the tab from playing the alert.
Check current and upcoming orders
This page allows you to check current and upcoming orders. Go to Orders > Current & Upcoming. At the top you see Total Daily Sales and Total Daily Completed Sales, then two tabs:
Now: orders for today, including advance orders whose time slot starts within the next 30 minutes. This is where new orders appear and where the alert banner lives.
Upcoming: paid orders whose time slot starts more than 30 minutes from now, earliest first.
Note
Total Daily Completed Sales adds up every order on the Now tab whatever its status, not only completed orders. Total Daily Sales and Download daily sales leave out dine-in orders. See Viewing and Exporting Sales Reports and Order History for what each figure includes.
Each tab shows its count in brackets, for example Now (6) and Upcoming (0). The list shows Order no., Amount (RM), Order status, Order type, Order fulfilment time slot and Customer info. If you manage more than one branch, use All branches to pick one, and the Order type filter to show only Delivery, Self pick-up or Dine-in.
Tap Show new orders only on the banner to hide everything except the orders still waiting for you. Tap it again to see the full list.
Open and review a pending order
Tap the Order ID number (the red Order no.) to review a pending acceptance order. Its status in the list is PENDING ACTION.
The Sales Order Details page shows the customer information, Order Notes, the items, and the Order Details card with the Branch, Order type, Fulfilment time slot and Payment status. Under Order status, the Current order status reads Pending accept.
Customer service tip
Read Order notes before you accept. Requests such as "less sweet" or a birthday message are much easier to handle before the kitchen starts than after.
Accept the order
Tap on the Accept order button to proceed. What happens next depends on the order type.
Delivery orders
For delivery orders, the rider can then be requested by clicking the Accept order button. The delivery order pick up time can be scheduled for a specific time slot.
Under Update status, choose Select the time when the order will be ready for delivery, then click Accept order. The order is accepted and a rider is requested for that time. You will see Order status updated.
Self pick-up orders
For self-pick up orders, the order status ready for pick-up should be updated once the order is completed by clicking the Accept order button. This step is important to keep customers informed.
How you do this depends on whether automatic pick-up status is turned on for the branch:
Automatic (a ready-time list is shown): under Update status, choose Select the time when the order will be ready for self pick-up, then click Accept order. A box confirms "This order will automatically be flagged as ready for self pick-up at" the time you chose. Click Confirm, or Cancel request to pick another time.
Manual (no ready-time list): click Accept order. As the order moves through the kitchen, click Preparing order, then Ready for pickup when it is packed, and Complete order once the customer has collected it.
Note
On a branch with automatic pick-up status, you set the ready time once, when you accept, and the order moves to Ready for pickup by itself at that time. On a manual branch, the order only shows as ready when you click Ready for pickup, so do not skip that step.
Advance orders for another day
Depending on your brand's settings, an order for a later date may not be acceptable today. In that case a pop-up says Sorry, You Can't Accept This Order Today. and "The order was scheduled for" the order's date. Accept it on that day instead; it moves into the Now tab 30 minutes before its time slot.
The customer now knows their order is in hand, and the rider or the pick-up time is already set.
Send it to your POS and kitchen
Key in the order in your POS system and inform your kitchen to prepare the order.
Once it is in your POS, record the POS receipt number on the order so the two can be matched later. In the POS card, under POS receipt no., type the number in Update POS receipt no. and click Update. The Current POS receipt no. changes from N/A to your number.
CEO tip
Recording the POS receipt number on every online order makes month-end reconciliation between Eats Venture sales and your POS a simple match, and the number also appears in the sales exports.
If the customer picked the wrong branch, or needs a different time, you can still fix it before accepting. See Move Order to a different Branch and How to change the order date and time.
If something goes wrong
No sound when an order arrives: check the device is not muted, the switch on the banner reads Sound on, and you closed the sound check pop-up on this tab. Reload the page if needed.
An order you expected is not on the Now tab: check the Upcoming tab, the branch selector and the Order type filter, and clear the search box.
"Sorry, You Can't Accept This Order Today.": the order is for a later date. Accept it on that day.
"POS receipt no is required": the Update POS receipt no. field is empty. Type the number before clicking Update.
The order was accepted by mistake: contact the Eats Venture support team.
Mission accomplished: what you have achieved
- No silent orders. The banner and sound keep going until every new order is accepted.
- Customers kept informed. The order status moves to ready for pickup, so pick-up customers can see when to come.
- Riders booked on time. Delivery orders request a rider for the time you choose.
- A clean audit trail. The POS receipt number links every online order to your till.
The next busy lunch, the screen does the watching for you.
